Supporting with Large-Scale Asset Inventories
RGIS was selected based on the proven track record in large-scale asset verification, ability to integrate with third-party platforms.
CHALLENGE
A fast-growing digital inventory software provider was awarded a contract to digitise the asset register for a medical insurance company – one of the country’s largest health insurance providers. The contract required physical verification and RFID tagging of all fixed assets across 134 locations within a tight timeframe.
The software provider had recently discontinued their previous inventory service partner and were seeking a reliable new company to help fulfil this major contract. They needed a trusted, technically skilled, and highly scalable field team to meet the exacting standards of both the software provider and the medical insurance company.
WHY RGIS?
RGIS was selected based on the proven track record in large-scale asset verification, ability to integrate with third-party platforms, and capability to quickly mobilise experienced field teams across complex geographies.
In particular, RGIS’s precision in RFID labelling, room-level allocation, and data integrity aligned perfectly with the software provider’s software-driven approach to inventory management.
OUR SOLUTION
RGIS provided a structured and scalable field solution to support the software provider’s asset digitisation programme. Joint planning sessions with the software provider and the medical insurance company aligned protocols and scheduling across 134 sites.
Full Inventory Execution:
- Identification, allocation, RFID labelling and scanning of all assets valued over €250.
- Matching to existing database entries or creation of new records if absent.
- Assignment of assets to specific rooms (based on the customer’s room book).
- Quality assurance and data post-processing.
Technology Integration: Direct collaboration with the software provider’s digital platform ensured clean and compatible data capture.
Efficient Field Execution:
- Team of 37 ASETs, 6 Team Leaders, and a dedicated District Manager.
- Delivered across 134 locations within 15 working days.
RESULTS
- High Volume Delivery: Out of a total of 68,000 assets, RGIS recorded 57,000; the medical insurance company recorded the remaining 11,000 independently.
- Customer Satisfaction: The medical insurance company was highly satisfied with the results, praising the quality, structure, and completeness of the inventory.
- Digital Visibility: Thanks to the software provider’s app and RGIS’s groundwork, the medical insurance company can now accurately track asset additions and removals.
- Future-Ready Systems: A repeat cycle of asset updates is planned in 3 years, with RGIS positioned as the preferred service partner.
CONCLUSION
This project exemplified the power of partnership between digital platforms and expert service providers. The software provider delivered the application innovation; RGIS delivered the operational execution. The collaboration not only helped the medical insurance company gain a complete, accurate inventory – but also laid the foundation for RGIS to support further clients for the software provider in the future.
